Goal
First of all you have to define your goal with your phone system. Do you want to consider it as a service for your clients – or just as a needed tool?
Get a professional Call Flow for you Telephone System
There are many ways you can greet your customers on the telephone.
But how you chose to greet your clients does matter a lot because a phone greeting is after all the first impression: “Your company’s face” to the world. A call flow is not “just” a call flow.
To give you a few ideas of how it can be done and how you can get started, we want to give you some suggestions and examples of phone IVR (Interactive Voice Response) voice prompt messages for you – see below.
To inspire you, we have collected some examples of typical IVR messages. They are useful for inspiration but most important – please do design your own personal messages, fitting your company’s DNA!
When thinking phone voice greetings and a logic telephone call flow, you have to design the flow properly and minimize all extra call forwarding, that won’t give value or that won’t benefit you or your customer. The navigation flow has to be clear, logic and straight without obstetrical, voice loops etc. – and while having a client waiting in a queue, you have to make the waiting time feel short by choosing the right Hold on Music and combine it with relevant announcements or voice prompts (like asking for invoice numbers etc.).

First your client is met by
some weird music on hold
…then he gets the strangest Voicemail
Telephone Messages in the wrong order.
…and finally after a loooong waiting
time he gets thrown off the line.
